Parent Portal Terms of Service

1. Who this applies to

These Terms govern use of the Hillwood Academic Day School parent portal by parents and guardians of currently or formerly enrolled students. A portal account is issued by the school, not created through open sign-up; using it means you are the person the school has on file as a guardian for the student(s) shown in it.

2. Your account

Signing in is handled by our authentication provider (Clerk), using the method you choose — a one-time link to your email, a passkey, or your Google, Microsoft, or Facebook account. You are responsible for keeping access to whichever method you use secure, and for telling the school if you believe your account has been accessed by anyone else. The school may suspend portal access for a guardian who is no longer authorized to see a student's information.

3. Use of photographs, likeness, and related material

As part of each family's enrollment agreement with Hillwood Academic Day School, the school obtained a full release for the use of photographs, likeness, and work product of the enrolled student(s), their parents, and/or caregivers — including images that may involve biometric identification — for general marketing and commercial use by the school, and to provide goods and services offered by Hillwood Academic Day School and/or its affiliates and partners.

By signing in and using the parent portal, you reaffirm and reinforce that existing release. Using the portal does not withdraw, narrow, or replace it, and this page does not itself grant any new right the enrollment agreement did not already grant — it restates what was already agreed.

Note for review: the release above and the portal's separate, revocable, per-child face-matching opt-in are not in conflict — the release covers what the school may do with the material, the opt-in is a narrower, additional control the school chooses to offer on top of it. Still worth counsel confirming the two read that way together, since a family will encounter both.

4. What the portal is for

The portal shows photographs your own child appears in once a staff member has approved them, the school calendar, announcements, and how to pay tuition. It does not show account balances or payment history — the school's bookkeeping is separate, and the portal only ever points you to how to pay, never what is owed.

5. Downloading and sharing photographs

Photographs available to download through the portal are for personal and family use. A photograph that shows a child other than your own may be withheld from download if that child's family has not agreed to it leaving the school's systems — this reflects another family's choice, not a limit on yours, and is not something the portal can override.

6. Notifications

The portal can notify you by email, and by push notification if you turn it on in your browser, when a new photograph or announcement is posted. You can adjust or turn off routine notifications in the portal at any time; urgent and emergency notices from the school cannot be turned off, because they exist for situations where every family needs to be reached.

7. Deleting your account

You can delete your own portal account — your name, email, and sign-in — at /portal/account. There is no request to submit and no one to wait on: type your account's email address to confirm, and it is deleted immediately. Deleting your account does not delete your child's own photographs or school records; it removes you as a guardian able to see them through the portal, the same as if a staff member had removed the link. If you want a specific published photograph taken down instead, use /report — no account is needed for that at all. See our Privacy Policy for what deleting your account does and does not remove.

8. Acceptable use

The portal is for your own family's use. Do not share your sign-in with anyone else, attempt to access another family's information, or use anything obtained through the portal — including a photograph of a child who is not your own, even one made available to you — in a way inconsistent with these Terms.

9. Changes to these Terms

We may update these Terms from time to time. The effective date above reflects the most recent revision.
